Merredin Music Club – interest meeting 19th December 2006 Meeting 7pm, Merredin Telecentre.
Attendance: Steve Elliot Ross Anderson Casey Atkinson Horse Ryan Paskett Geoff Lee Ryan Flanagan Jeff Walker Marcus Watson Tim Crogan Shaun Webb Duane Healy-Ratima Aaron Flanagan This meeting was to discuss the formation of a music club or musician association in Merredin. A turnout of 13 people at short notice with no publicity is very encouraging!
WHY People who attended the meeting have been talking about how positive and unifying it would be to bring Merredin’s music community together. A number of us met at Guitar Heaven in August 2006 and acquaintances and connections have emerged. A desire to get this idea off the ground in 2007 sparked the meeting.
Points raised on the purpose of a music club: - Help Merredin musicians by sharing gear, advice, connections, knowledge, and a pool of fellow musos to play with. Give people access to whatever they need to become musicians or to improve their musicianship. Support. - Develop Merredin’s musical talent. - Be open to everyone whether they are a player or not. Form friendships and social links. A place for people to start from or turn to on their music journey. - Contribute back into Merredin culture by supplying entertainment for community events, and putting on purely musical events. - Broaden the musical horizons of local players and music fans.
WHAT / HOW Ideas on things that we would want to achieve or build: - Hold workshops that invite people to Merredin to provide information or tuition that isn’t otherwise available here (i.e. guest speakers on arranging/songwriting, music legal issues, singing and drumming teachers, touring and promoting specialists, sound engineers) - Have regular meetings where people get a chance to play on stage or have lessons with other members. Getting on stage with supportive crew is important. This would follow the club meeting, which would go for around 45 minutes or so. - Club-owned gear - PA, microphones, instruments, a dedicated computer, a drumkit etc. Available to club members. Many musicians don’t have gear or can’t afford to hire it. - A library of music resources – tuition DVD’s, magazines, books etc. - Stage musical events above and beyond the usual community events. First community concert tentatively suggested for June/July. - Merredin Songwriting Competition - Become an incorporated not-for-profit body to better access funding - Record and promote product of Merredin musicians
Next Steps: - Horse will bring information to next meeting on what is required to become an incorporated not-for-profit organization - Contact the Shire of Merredin via mail to enquire about support through use of Cummins Theatre once a month for meetings - Next meeting in late January but before Australia Day. Shaun providing the food! - Following the January meeting we publicise our presence and intentions, and invite the public at large to become involved; maybe start memberships. - Maybe as more members come on board the meetings will have to be on weekends to fit everything in? For the time being Wednesdays might be the go. - Duane and Jeff have items to donate to the gear pool immediately. Think about what you never use anymore – dodgy leads (Ryan can repair), old guitars, crappy amps, tambourines, drums, harmonicas – anything! - Prioritise projects and seek funding

4.0 Business arising from ‘initial gathering’ notes
4.1 Incorporation information Horse was sourcing information on incorporation of associations. As he was absent, the meeting moved on to item 4.2 4.2 Venue: Cummins Theatre Jeff Walker was to contact the Shire of Merredin to ask if a newly-formed Merredin Music Club could hold monthly meetings at the Cummins Theatre. The Shire has given verbal agreement to this, gained from Deputy CEO James McGovern. It was agreed that a letter of thanks be written to the Shire, and that written confirmation of the arrangement should be sought.

5.2 Initial Contact and Publicity Announce formation of club to groups, individuals and outlets. The Club President should be first point of contact for the club. Suggestions included letters of thanks to Shire and IGA, followed by contact with the Merredin Mercury and Hot FM. Also Brendon Grylls, Blues 52, Toy Kingdom, Repertory Club, Fine Arts Association, GWN/WIN TV community 1800 number, Visitor’s Centre, caravan park, the schools, the community noticeboard.
The Club Secretary and Treasurer should look into a club PO Box.
5.3 First gig/show/festival The 21st of July was suggested as being the date we should work towards, the meeting generally agreed this sounded fine, and a point was made that the club should begin structuring and preparing for the show as soon as possible. It is important to check what the Theatre has planned for July.
- At this point a sideline discussion occurred on Club Membership and fundraising. Points raised: Future sausage sizzle food and drink on Jam nights should have a charge to raise money for club. What do members get for their membership? Certificate, bumper sticker, membership card etc. Ryan Flanagan suggested discount at music store in Toy Kingdom (this suggestion received a most warm welcome!).

5.3 Club Gear and Gear Pool Jeff Walker informed the meeting of a request from the Merredin Shire that the club have any amplification gear that they wish to use in the theatre checked and tagged (by an electrician that the Shire will hire and pay for).
Peter Irving suggested that a request be made of the Shire that they instead select 4 power outlets (15amp) that would be designated as approved for use by the Club, and the Club could pay for very high quality ‘trippers’ to be installed for those outlets. This would stop any surge damage to equipment belonging to members, and would likewise protect the Theatre’s power supply. This could be a far easier solution than ongoing checks and tagging of equipment which may be necessary as gear used could change at any time.
Points that were raised during club gear discussion included: People often prefer to use their own gear The club does not own any gear at this time, and due to expense it will be a while before any can be bought. Allowing each member to use their own amps can create problems with time taken to set up and pack up, both at shows and at jam meetings. With constant re-setting of levels needed with each change of amp, between-sets down-time is increased. Personal conflicts will be inevitable when mix-ups and damage to people’s personal gear occurs. If the club has its own gear, it will be insured, and damage will not be a cause for friction or complications. The theatre’s electrics are felt to be fragile, so care needs to be taken when using the Shire PA and lighting boards.
6.0 Next Meeting Before the next meeting date was set, discussion was had on the difference between Committee meetings and Club meetings / Jam nights.
Jam Nights / Ordinary meetings should be once a month. Currently organized for Wednesday nights, either the 3rd or 4th Wednesday of the month.
Committee meetings should be on the Wednesday the week after ordinary meetings, to take advantage of the ideas/issues generated at those ordinary meetings, and discuss them while they are fresh. This will leave 2 weeks to act on decisions from the committee before the next ordinary meeting.
Peter Irving raised the point that there may have previously been a ‘Merredin Music Club’ and that if that club still has loose ends (i.e. is registered anywhere) we should be open to a name change. All present were open to the possibility of a name change if the need arises. This issue should be clarified quickly before the Club commits to anything major using the Merredin Music Club moniker.

5.0 Business Arising from Minutes Name of Club – at the first club meeting Peter Irving stated that the name of Merredin Music Club may have been used before and would need checking. Name was checked by Peter and cleared; the Merredin Music Club is now the official title of this club.
6.0 General Business
6.1 Alcohol at Club Jam Nights Moved: Jeff Walker Seconded: Ross Anderson Carried 10/0 That Merredin Music Club ‘Club Nights’ be totally alcohol-free.
6.2 First gig/show/festival – July 2007 Date booked for Saturday 21st July at Cummins Theatre. Jeff Walker to book Cummins for setup on the Friday beforehand if possible. A 3-week grace period is suggested – i.e. start advertising 3 weeks before the show (start advertising 1st July) BUT if it is felt that we are not ready then we can hold off on the concert. Minimum 5 ‘acts’, maximum 10 ‘acts’. Ryan F, Geoff Lee and Casey Atkinson as stage managers / producers.
6.3 Format of monthly club Jam Nights - Cut-off time 10pm for leave venue at 10.30pm. - Adopt a ‘show and tell’ approach that encourages between-meetings jamming to refine peoples’ tunes and skills, then bring what you have done to the meeting to play on stage – this will maximize stage time for all; without spending time on stage just meandering and doing not much. - Chalkboard / whiteboard system – Geoff Lee to be coordinator. - Until the Club buys gear, everybody looks after their own equipment. - Stage-hands: Ross, Geoff, Ryan, Steve. - Induction to stage for all. - Gear ownership list & tags - Children under 16 should be accompanied by a parent or responsible adult. - Jam nights should be re-titled ‘Club Nights’. - Members only to club meetings, with any member bringing friends or relatives to give a fair amount of notice to a committee member. - After the majority of the club is in attendance at the meeting, doors will be closed (not locked, just closed, not open as at the first meeting).
6.4 Club Gear It was suggested that the club should store its gear at Toy Kingdom; it is a secure alarmed venue, with access via Ryan F at any time if the club needs it. Eventually we would like to have a complete PA setup with a trailer that stores it all. For the time being the club should seek grant funding for the large purchase of a PA, and spend normal funds on some cheap guitars, keyboards, bass and amps.
6.5 Relay For Life It was acknowledged that there would be positives in both having a team in Relay for Life and also having the Music Club involved in the entertainments. The point was made that as this event is only three weeks away, as a club we are simply not ready. It was agreed that it should be up to individuals in the club if they get involved in either aspect (performance or participation in the relay), rather than have any form of official club involvement
6.6 Other General Business Clarification of Club Meeting dates: - The general Club meetings are on the last Wednesday of each month (with the exception of February 2007 – this has already been advertised as being on the 21st Feb) - Committee meetings are on the week after the club meetings – i.e. the first Wednesday of each month.
Donations / Support – It was suggested that while all committee members should feel welcome to sound out sponsorship support (and if successful get the club secretary to write to that person/organisation officially), this task would generally be the duty of the vice president.
Memberships – 5 people paid $50 each for Foundation Memberships: Jeff Walker, Ross Anderson, Naedine Cockram, Steve Elliott and Shaun Webb. Club discount rate at Toy Kingdom is yet to be determined. Membership fees able to be paid between meetings at Toy Kingdom.
Bank account – to be established on Friday 9th Feb by the President, VP, treasurer and secretary.
Gig available – Steve Elliot stated that when the club is ready with a roster of performers we will be able to play a whole night at the Broadwater Pagoda Resort, with overnight accommodation provided.
Club logo – suggestion that there should be a competition to design a club logo. Another suggestion was to approach Chloe Flockart to design the logo.
Prepaid mobile(s) for the club – a suggestion that one (perhaps two) prepaid mobiles be purchased by the club, to establish a neutral contact number, and to be used to take club calls. The phone should generally be in the hands of the president who is the first point of contact for the club.
Post Office Box – The secretary has established a Club post office box. The club postal address is PO Box 13, Merredin ,WA, 6415. Secretary requested reimbursement of $88.67 to cover costs outlaid for such.

6.0 General Business
6.1 First gig/show/festival July 2007 There was much discussion on various aspects of the club's first show. Apart from a date (21st of July) and a suggestion for the title (Flaunt It), there is so much to be organized and discussed further, that a separate meeting was called for. The Show meeting will be on Sunday 15th of April at the Northside Tavern at 1pm.
6.2 Club Logo This is a priority, as the club cannot get personalised material or merchandise without a logo. An email will be sent out to the club membership to remind them that we are seeking submissions for a logo design, and that they should bring designs along to the next Club Night on March 28th, when a design will be chosen. A reminder will also be posted on the club forums.
6.3 Cummins Theatre and Shire changes The Shire of Merredin have written a reply to the Club, in which they agree that a relationship between the Club and the Shire (as relating to use of Cummins Theatre) should be formalized. The Shire wishes a Memorandum of Understanding tobe established between the Club and the Shire. Jeff Walker advised the meeting that since the resignation of the Shire's Theatre Manager, Acting Theatre Manager, and Deputy CEO within the last few months, now is a time when great changes are afoot at the Theatre. Having an MOU will ensure that both parties know their rights and responsibilities, and that this will help avoid misunderstandings. The President and Vice President will read the draft MOU and suggest changes. The Secretary will note the changes to the document, which needs to be returned to the Shire by March 16.
6.4 Fundraising ideas Suggestions include: « Car Wash (Casey to set up a date for the Car Wash) « Sausage sizzle at Two Dogs « Auction off hot people « $100 raffle « Busking at local markets and outside IGA « A Garage Sale « A song raffle - win a personalized song written & recorded by the club « A stay at the Broadwater can be raffled (possibly including fuel from BP) « Sponsorships have been tentatively negotiated by the Vice President, including BP Merredin, Merredin Toyota and Marleys Transport. IGA and Toy Kingdom should be recognized for their contributions by being named as Major Sponsors. A sponsorship form and letter was approved by the President and Vice president to be sent to sponsors. « Sponsors logos should be included at the bottom of Club letterhead. All advertising should include sponsors logos. « Apply for funding for gear (preferably with existing quotes) or setup costs with IGA's Community Chest program. « Ask Brendon Grylls to approach Lloyd Morley at Telstra Countrywide on the Clubs behalf.
6.5 Merchandise ideas Stubby holders - Shaun Webb can get these printed by a company who will supply them for free if they can have their advertising on the back. Discussion of merchandise is being held back until the club has a logo.
6.6 Club newsletter / zine The committee suggested that a free quarterly newsletter would be a very good idea. It could possibly be combined with a music catalogue by Toy Kingdom, which will save on printing costs.
6.7 Club Jam room proposals The discussion on a possible non-Cummins casual jam space (for members to use between Club Nights) transformed into discussion of gigs relating to the Club. When the club is offered opportunities to play, it is important to have a clear demarcation between the Club and the individuals/bands who are members of the club.
The suggested Friday night Bowling Club gigs proposed to the Vice President by Mr Mike Kendrick being a case in point: The Club as an entity will not coordinate or be officially associated with a open mic or jam night there, but individuals who would like to play or organise this separately from the club are welcome to do so.
Many members of the committee feel that fostering an impression the club is a place to find free entertainment may sell short future and present musicians who earn money from the industry. Other members feel that the club was formed to increase opportunities for Merredin musicians - paid or otherwise.
It was agreed that the Club should not provide regular free entertainment, but members who wish to do so shouldnt feel discouraged from doing so. The Friday night Bowling Club opportunity may be paid or unpaid, but at this stage the Club Committee feels that it is not the right opportunity to pursue at this time, due to the imminent show in July, and the potential of over-exposing the clubs members in the lead-up to the show.
6.8 Other Business Geoff and Jeff mentioned other music clubs in Manjimup and Northam. Bryan French will plug Club Nights. WIN TV could also do so. Shaun Webb will set up a club email address at HOTMAIL.
7.0 Next meeting Peter Irving has offered to run a workshop the next regular Club Night. Next Club Committee meeting is Wednesday 4th April at Northside.

7.4.4 Touring bands / Wheatbelt touring circuit Perth bands are becoming aware of the club and the possibility of playing gigs in Merredin. Papertrail and Stars Don’t Fall are 2 bands that have expressed interest in performing in Merredin. Other music clubs and WAM have raised the idea of an unofficial Wheatbelt touring circuit supporting bands wanting to tour. The committee supports this idea.
7.4.5 Web presence - forums, club pages, photo & mp3 hosting The club has the forums, a club page at Merredin.yourguide, and a hotmail email address. Ross is establishing a photo-hosting facility for the club to post pictures online, and will set up a Myspace page.
7.4.6 Club gigs Suggestion that the Club have a demo disc of club members, so people who come to the club wanting to hire a band can hear a selection of songs and choose a band.
